Warning: Quotation line limit — large quotes may lose data

How the ~430-line limit affects large quotations and how to work around it with Sections.

The ~430-line limit

OutSmart quotations have an approximate limit of 430 lines. If a quotation exceeds this threshold, saving it silently truncates the extra lines — no error message is shown. This is a known platform limitation.

How to work around it

For large quotations, use the Sections feature. Sections split a single quotation into logical groups, keeping each group well within the line limit.

  1. Ask your administrator to enable the parameter QUOTATION_INVOICE_SECTIONS_ENABLED.
  2. Sections support four modes:
    • 0 — disabled (default)
    • 1 — checkbox selection (customer picks which sections to approve)
    • 2 — hide sections (sections are used internally but not shown to the customer)
    • 3 — all sections required
  3. Create separate sections for each phase, area or trade of the project.

Best practices for large quotations

  • Keep each section under 300 lines to leave a comfortable margin.
  • Review the total line count before sending the quotation to the customer.
  • Consider splitting very large projects into multiple quotations.

Invoice editing rules

Once an invoice has been sent, it can no longer be edited. If you need to make corrections, the correct workflow is:

  1. Create a credit note for the original invoice.
  2. Create and send a new invoice with the corrected details.

Note: hidden lines are not included in exports (since BackOffice 8.1.4), and external IDs are not duplicated on credit invoices (since BackOffice 4.1.1).
