How to link an object (asset) to a customer

Connect physical assets to customer records using the debtor number and QR codes.

Objects in OutSmart

Objects (also called assets) represent physical equipment, installations or locations that you service. Linking an object to a customer ensures technicians see the full service history when they arrive on site.

Creating an object

  1. Navigate to Inventory > Objects.
  2. Click Add Object.
  3. Fill in the object name, serial number and any relevant details.

Linking the object to a customer

The link between an object and a customer is made through the debtor number field.

  1. Open the object and navigate to the Details tab.
  2. Enter or select the customer's debtor number.
  3. Optionally, link a specific address if the customer has multiple locations.
  4. Click Save.

Linking an object to a work order

Once the object is linked to a customer, it can be attached to any work order for that customer. This is done via the object selector on the work order form.

QR codes

Each object can have a QR code. Technicians can scan the QR code with the mobile app to instantly pull up the object's details and service history.

Custom fields on objects

Objects support Free Fields, so you can add custom data points (e.g. warranty expiry date, last service date) to any object.
