How to buy licences and activate your first employee

Purchase licences, understand the one-session rule and get your first technician online.

Licences explained

Every technician who uses the OutSmart mobile app needs an active licence. One licence equals one active mobile session — if an employee logs in on a second device, the first session is disconnected. BackOffice users are not limited in the same way; you can have multiple browser tabs open simultaneously.

Buying licences

  1. Log in to BackOffice and navigate to Settings > Licences.
  2. Select the number of additional licences you need and confirm your order.
  3. Licences are activated immediately and appear in your licence pool.

Day Passes

Need a temporary licence for a subcontractor or seasonal worker? A Day Pass grants 24 hours of mobile access. Key points:

  • The pass is consumed the moment it is activated — the 24-hour countdown starts immediately.
  • Day Passes are non-refundable, so only activate one when the employee is ready to work.

Adding and activating an employee

  1. Navigate to Settings > Employees.
  2. Click Add Employee and fill in name, email and phone number.
  3. Assign a licence from the available pool.
  4. The employee will receive an activation email with instructions to download the app and log in.

Linking a licence to an employee

After purchasing, each licence must be explicitly linked. Go to Settings > Employees, select the employee and choose Assign Licence. The employee can now log in to the mobile app.
